IT disposal across multiple school sites

A trust-wide equipment refresh is easier to manage when each school records devices in the same way. A shared inventory, named contacts and a clear exception process help the trust reconcile what left each site with the records it receives afterward.

Build one inventory for all sites

Use consistent columns for school name, collection postcode, room or store, equipment type, approximate count and any asset or serial numbers needed for reconciliation. Record data-bearing storage separately when it has been removed from a device. Keep leased equipment, third-party assets and items held for retention apart from the disposal batch.

Agree responsibility and method

Identify who at the trust can approve disposal and who at each school will hand equipment over. Decide which items may be suitable for reuse, what data handling is needed, and how inaccessible or failed devices will be treated. Ask what evidence is available for each agreed route. Plan collections around school operations

Share site access times, parking or loading restrictions, safeguarding arrangements for visitors and the local contact for each collection. Batch quantities can change between planning and collection, so agree how differences will be counted and reported. A transfer record should identify the site and the items collected; retain it with the resulting processing records.

Close the loop

Compare the provider's records against the trust's inventory. Investigate unmatched asset numbers, failed erasures and items held back at a school.
