A clinic or healthcare organisation may retire laptops, printers, drives and paper records at different times. Before asking for destruction, decide which assets and records may be released and what evidence your organisation needs to retain.
Start with the information and the equipment
Ask your information governance and IT teams to identify the data-bearing assets in the batch. Include desktops, laptops, server drives, removable media and storage inside multifunction printers. Separate paper records from electronic media. Keep devices that are leased, needed for an investigation or subject to a retention decision out of the disposal batch until the appropriate owner approves them.
Choose a suitable route
Some equipment may be considered for verified erasure and reuse, while media not intended for reuse may need physical destruction. A damaged or inaccessible device requires an agreed exception route. The treatment depends on the media type, condition and your policy; a deletion command or a generic certificate cannot settle those questions on its own.
Agree transfer and completion records
Specify who will hand over the batch, where it will be collected and whether a count or asset-level record is required. Ask what the available completion evidence will show, then reconcile it to the handover. The ICO's disposal guidance highlights secure handling and evidence from third parties. If you work within an NHS framework or another sector-specific process, confirm your organisation's own requirements before booking rather than relying on a blanket compliance claim.
