Off-site shredding lets your organisation hand over confidential material for destruction after collection. It may suit a planned office clearance, a batch of retired drives or paper records that no longer need to be kept. Tell us what you have and where it is; we will confirm the collection and processing arrangements available for your job.
What can you include in an enquiry?
List hard drives, other storage media and confidential paper separately, with an approximate quantity for each. These materials may need different handling and destruction methods. If storage is still inside laptops, desktops or servers, say whether you need the drives removed and whether the remaining equipment also needs to be handled. See hard drive shredding, storage media destruction, paper shredding and laptop recycling for the individual services.
Plan the collection and handover
- Describe the batch. Provide your postcode, material types, approximate quantities and where the items are stored.
- Explain access. Mention loading times, parking restrictions, stairs or lifts, and who can authorise the handover.
- Agree the scope. Confirm which materials are being collected, how they will be processed and what documentation you need before booking.
If your organisation uses an asset register or a list of drive serial numbers, explain how you want the batch identified at handover. Keep your own copy of the agreed inventory and any handover document. We will confirm what can be recorded for the job.
What happens after collection?
We will explain the proposed route from your premises to the relevant destruction process, including how the material is identified and what records are available. Ask when and how completion will be confirmed. The exact arrangement depends on the media and service agreed, so check these points before releasing material containing personal or business information.
Documentation for your records
Tell us if you need a handover record, a Certificate of Destruction, serial numbers or a particular description of the material. We will confirm the documentation available before you book. Our chain-of-custody guide and destruction records guide give you questions to use when planning your audit trail.
Would on-site destruction suit you better?
If your policy requires a member of staff to witness destruction at your premises, tell us when you enquire. On-site shredding may be an option depending on your location, material, volume and access. We can discuss both approaches so you can choose an arrangement that fits your policy.
